Set up the guest pathway

Four roles, one weekly rhythm and two recipes. A small church can give all four roles to one person.

Follow-Up → Setup opens with a checklist. Each line links to where it is fixed: who owns new guests, the Next Step catalog, an aim for each guest stage, and the two welcome recipes.

Guests get a thank-you after their first visit, a “good to see you again” after their second (never a repeat of the first), and one personal invite at a time.

    Give out the four roles

    Welcome team: hands out the Connect Card and quietly marks returners present on check-in.

    Connector: owns a handful of guests, completes their Follow-Up tasks and records how each Next Step went. Connectors need a login with the Follow-Up Team role, because tasks are assigned to people who can sign in. Staff logins do not count against your plan's people limit.

    Follow-Up lead: is the default owner, hands new guests to connectors, accepts pathway suggestions and reviews the tracker.

    Pastor: reads Follow-Up → Overview weekly and takes the guests who need care first.

    Add the two recipes

    From Workflows → Recipes, add “First-timer welcome” and “Returning guest welcome”. Each arrives switched off, with its text sequence added and also switched off. Read both, then switch on the workflow and the sequence.

    The first-timer recipe only sends texts: the personal call is the card's opening task. The returning-guest recipe stops the first-visit texts, starts the returning ones and gives the card's owner a personal hello to make within two days.

    Keep the weekly rhythm

    Sunday: mark known guests present on check-in and give the Connect Card to new faces.

    Sunday evening or Monday: hand new cards to connectors, accept pathway suggestions, and give every guest without a Next Step one.

    Tuesday to Thursday: connectors work only from Follow-Up → Tasks. One personal contact per guest per week.

    Weekly, 15 minutes: the lead and the pastor ask who has no owner, who has no Next Step, whose invite has gone quiet, and who has not been back in 21 days. Follow-Up → Overview answers all four under Needs attention, and each count opens the list behind it.
